Effective document management was hampered by the daily handling of more than 1,500 signed proof-of-delivery (POD) picklist documents in truck delivery and pick-up counter operations. The scattered locations and platforms caused operational inefficiencies during inquiries. Originally, documents were date-stamped in filing cabinets for pick-up documents and in a truck routing application for delivery documents.
Due to the decentralised system's multiple locations and drivers, there were delays and laborious searches for pertinent documents. Furthermore, there was a lot of paperwork, which meant a lot of physical storage. In addition to wasting important time for customers and staff, this fragmented process put customer relations at risk. The necessity to resolve these inefficiencies and move away from a disjointed, paper-based document management system was further underscored by the possibility of unpaid invoices, unjustified refunds, or replacement orders due to lost paperwork.
An organisation digitised signed pick-up and delivery documents across multiple locations by integrating Infor Robotic Process Automation (RPA) with its CloudSuite Distribution ERP. The system extracts metadata from documents and uses the Infor Document Processor (IDP) to process and classify them intelligently in preparation for uploading them into Infor Document Management (IDM). By putting conventional practices to the test, Infor RPA implementation highlighted how revolutionary Infor Enterprise Automation is for digital transformation. Python scripting and Infor ION enabled the centralisation of signed delivery documents in IDM, further streamlining access for users of CloudSuite Distribution.
By switching from manual, paper-based procedures to automated ones, the organisation's customer service and traceability were greatly enhanced, allowing for effective document retrieval in response to queries from everywhere. Automation marked a significant change towards a more efficient and digitalised operating environment by eliminating manual labour and improving resource allocation.
The company has accomplished a remarkable digital transformation, processing about 1,500 signed picklist documents daily and centralising these documents online in Infor Document Management (IDM) in minutes. By utilising Infor Robotic Process Automation (RPA), 500 signed paper picklist documents at the pickup counter could be digitised and processed in just five minutes daily, resulting in an 85 per cent increase in productivity. Furthermore, the quick processing of 1,000 signed delivery picklist documents in less than a minute each day was made possible by the integration of the Infor ION API.
Implementing this efficient method has led to a 95 per cent reduction in the time it takes to respond to customer service queries regarding signed picklist documents. Additionally, the quick online access to these documents has greatly increased productivity. The advantages include lower costs, the removal of the requirement for actual physical storage space for paper records, and a decreased chance of incorrect replacement orders or refunds. The efficiency and effectiveness of the implemented solution are highlighted by this value realisation, which was achieved in less than a week of deployment.
