Fremont, CA: IT service management (ITSM) is one of the most important and time-consuming functions in any IT department. Among the numerous ITSM tasks are employee onboarding and offboarding, application service-level monitoring, password management and resets, and help desk ticket resolution.
Many ITSM tasks are critical components of risk management policies and procedures. Unauthorized employees – or even ex-employees – may be capable of accessing sensitive corporate networks and resources if tasks are completed too slowly or incorrectly. Aside from security processes, many other user management tasks involve keeping employees happy and productive and ensuring that required IT service levels are met. An organization is likely to have a spreadsheet file containing information about each new employee for each employee. The key attributes are first and last names, phone numbers, organizational unit, department, direct manager, job title, and the groups each new employee will join.
The IT department uses this information to create a new user account in Active Directory as well as a mailbox in Microsoft Exchange Server associated with the user's account. The IT team will create an initial unique password as part of creating the new user account in Active Directory, and then force a password change to force the user to create a new password when he or she first logs in. Furthermore, each new employee's unique user name should be added to the appropriate group or groups in order for the employee to have access to the appropriate IT systems and applications associated with their groups and roles.
When the onboarding process is done manually, IT staff can consume a significant amount of time and money. Fortunately, by utilizing robotic process automation, organizations can avoid many of the negative consequences associated with this and other user management tasks (RPA).
