RPA was used to achieve cost-effective digitalisation of signed pick-up documents across various locations by utilising an integrated service with a cloudSuite distribution ERP. For RPA processing, these documents are scanned, stacked, and uploaded to an online file system. After extracting metadata and intelligently splitting documents based on order numbers, the Infor document processor (IDP) uploads the documents to the Infor document management (IDM) system. IDP uses AI-based optical character recognition (OCR) to automatically associate documents with matching orders. A further step towards centralised and digitalised document management is the conversion of signed delivery picklist documents to PDF format with extracted metadata through integrating POD documents into IDM utilising Infor ION and Python scripting. With just a few clicks, users of cloudSuite distribution can now easily discover, email, and print signed documents.
Traceability and customer service have been improved due to switching from manual, compartmentalised, and paper-based operations to an automated system. Through a streamlined process, all POD documents are digitally centralised within cloud suite distribution, making them easily accessible for any organisational inquiry. The advantages of digital solutions in corporate processes are highlighted by the change from labour-intensive and negatively impacting customer service techniques to an automated and centralised approach.
The organisation has reaped significant benefits from automation; the Infor document management (IDM) system processes and centralises 1,500 signed picklist documents per day in minutes online. By using robotic process automation (RPA), 500 signed paper picklist papers could be digitised and processed at the pickup counter in just five minutes a day, an amazing 85 per cent increase in productivity. Furthermore, 1,000 signed delivery picklist papers were processed daily by the Infor ION API in less than a minute after delivery. This resulted in a 95 per cent quicker response time for customer support queries about signed picklist documents. Because the automation program made signed picklist documents quickly accessible online, productivity increased by 95 per cent.
